Privacy policy

This explains what LetsPlaySports collects, why we collect it, who else sees it, and how to get rid of it. We have tried to write it in plain language rather than legalese. If anything here is unclear, ask us and we will fix the wording.
Who we are
LetsPlaySports is a platform for running recreational sports leagues, pickup sessions and venue bookings. Organizations sign up to run their own leagues or rent out their facilities, and players sign up to join them.
That means there are two kinds of relationship. For your account and the platform itself, we are the data controller. For the roster, registration and payment records inside a particular league or venue, the organization running it decides what to collect and why, and we process that data on their behalf.
What we collect
Your account
Sign-in is handled by Clerk. Your password, and any social login you use, live with them and never reach our servers. In our own database an account is only two things: your email address and an identifier that points back to Clerk.
Your player profile
Optional, and yours to fill in or leave empty: a display name, a profile photo, the positions you play, and a shirt size. Leagues you join can see this.
Taking part
When you register for a season, sign up for a pickup session or book a venue, we store what that requires: which team or session, whether you have paid, any answers you gave on the organizer's registration form, and any waiver you signed along with the time you signed it. Organizers can also record match results and disciplinary cards against your name.
Payments
Payments run through Stripe. We never see or store your card number. What we keep is the amount, the currency, whether it succeeded, and Stripe's own reference for it, so that your organizer and you can both see what was paid.
Photos
Venue owners can upload photos of their facilities, and organizers can upload match photos. Before any image is stored we strip its embedded metadata, which removes the GPS coordinates, the device and serial number, and the timestamp that phones attach to pictures. What gets stored and shown is the picture itself.
Location
We do not track your device location. When an organization enters a venue address, we look up its coordinates once so that it can appear in a "near me" search. Searching by zip code uses the zip code you type, not your device.
Messages and notifications
Announcements and messages your organizer sends, and your preferences for which emails and browser notifications you want. If you turn on browser notifications we store the subscription your browser gives us so we can deliver them.
Support, feedback and reports
If you contact support, report a problem with a listing or send in-app feedback, we keep what you wrote so we can act on it. In-app feedback can include a screenshot of the page you were looking at, which you see and can edit before it is sent.
Usage
We record events like "a public page was viewed" or "a registration completed" so organizers can see how their league is doing and so we can see which parts of the product work. This is our own measurement. We do not run third-party advertising or tracking scripts.
Surveys are anonymous, structurally
When we ask how a signup or a booking went, the rating you give is stored without any link back to you. This is not a promise about how we behave, it is how the database is built: the response row has no user column to put you in. We separately record that you were asked, so we do not ask you twice, but that record is kept apart from the answer and the two cannot be rejoined.
The consequence is worth knowing: we cannot show you your own past responses, and we cannot delete an individual answer on request, because we cannot tell which one is yours.
Young players
Features for under-18 players, including guardian accounts and parental consent, are switched off across the platform at the moment. LetsPlaySports is for adults, and accounts are for people 18 and over. If we turn those features on, this page will change first and we will say so.
How long we keep it
Account and participation records are kept while your account exists, because a league's history stops making sense without them. Payment records are kept longer, since we and your organizer both need them for accounting.
Reports about a listing outlive the listing on purpose. If deleting a venue also deleted the complaints about it, deleting the venue would be a way to erase them.
Your choices
You can edit or clear your profile at any time from your account, and change which emails and notifications you receive from your notification settings.
To get a copy of your data or have your account deleted, contact support. Deleting your account removes your profile, your preferences and your saved venues. Some records stay: payments, because they are financial records, and anything already made part of a public league result. Anonymous survey answers cannot be removed, for the reason described above.
Depending on where you live you may have additional rights over your data, including access, correction and deletion. Ask us and we will honour them.
Security
Traffic to the site is encrypted. Passwords are handled by Clerk and never stored by us. Card details are handled by Stripe and never stored by us. Organizations are isolated from one another in the database, and that isolation is covered by automated tests that run on every change.
No system is perfectly secure. If you find a vulnerability, please tell us rather than publish it, and we will work with you.
Changes
If we change this policy in a way that matters, we will update the date at the top and tell account holders by email. Continuing to use the platform after a change means you accept it.
